What’s a consultation or discovery session?
A consultation — sometimes called a discovery session or discovery call — is a short, no-obligation chat or meeting with a vendor before you book them. It's a chance to ask questions, explain what you're planning, and get a feel for whether they're the right fit for your family and your event.
Different vendors, different names
There's no single word for it, so vendors describe it in whatever way fits what they do. On a profile you might see it called any of these:
- Consultation — a general planning call or meeting.
- Discovery call — usually a quick phone or video chat to talk things through.
- Tasting — common with caterers and bakers, so you can sample the food.
- Site tour — a walkthrough of a venue or event space.
- Meet & greet — an informal chance to meet an entertainer or performer.
They all mean the same thing at heart: let's talk before you commit.
Why families find it helpful
- Ask the specific questions your event needs — themes, ages, accessibility, timing, anything.
- Get a sense of the person, not just their listing — especially reassuring when you're planning around a child who's shy, or who has sensory or social needs.
- Compare with confidence before you put down a deposit.
Free or paid?
Some vendors offer this for free; others charge a small fee, which is sometimes credited toward your booking if you go ahead. Each vendor's profile shows whether their session is free or paid, and how it's offered — phone, video, or in person.
How to find and request one
On the search page you can tick "Offers a consultation or discovery session" to see only vendors who offer one. On a vendor's profile, use the Request a consultation button — it starts a message to the vendor with the details filled in, so you only have to add your event.
